Understanding UserWay Sub-Accounts and Permissions

Learn how UserWay sub-accounts work, including ownership, billing, permissions, website management, and account administration.

Sub-accounts allow organizations to manage multiple clients, brands, teams, or business units from a single parent UserWay account while keeping websites, users, permissions, and settings organized.

What Is a Sub-Account?

A sub-account is a separate workspace created under a parent UserWay account. Each sub-account can have its own:

  • Websites

  • Team members

  • Roles and permissions

  • Configuration settings

  • Billing information

  • Security settings

Sub-accounts are commonly used by:

  • Digital agencies managing multiple clients

  • Enterprise organizations managing multiple brands

  • Franchise groups managing separate locations

  • Organizations that require independent website administration


Benefits of Using Sub-Accounts

Sub-accounts help keep workspaces organized and reduce the risk of making changes in the wrong environment. Key benefits include:

  • Separate management for clients or business units

Creating a Sub-Account

⚠️ Important: Verify that any required security controls, such as Two-Factor Authentication (2FA), are enabled before creating a new sub-account: Enabling Multi-Factor Authentication (MFA) via the UserWay Dashboard

  1. Sign in to your UserWay Dashboard at https://manage.userway.org/.

  2. Open Team Management area from the dashboard: (Click over the name of the account, in this case example)

  3. Click Create New Sub-Account or Add Subaccount.

  4. Enter a name for the sub-account.

  5. Click Create new sub-account.


Assigning a Sub-Account Owner

After creating the sub-account, assign an owner who will manage the workspace.

  1. Locate the sub-account in the account list, Click Manage.

  2. Enter the owner's first name, last name, and email address.

  3. Click on Create account owner to complete the process.

⚠️ Important: The owner's email address must not already be associated with an existing UserWay account. Once the sub-account is created, the new account owner will receive a welcome email containing a temporary password and instructions to complete the account setup.


I want to install the widget. How can I find the correct widget code to use?

Each sub-account has its own unique widget code. For example, if the parent account owner is parent@example.com, but your websites were added under the sub-account sub@example.com, you must use the widget code associated with sub@example.com.

The same widget code can be used across all websites that belong to that specific sub-account. Please note that each sub-account is a separate and unique UserWay account, which means it has its own widget code and account configuration.

To retrieve the correct widget code:

  1. Enter the email address of the sub-account owner.

  2. The system will provide the widget code associated with that sub-account.

⚠️ Important: Do not use the parent account's widget code if the websites are assigned to a sub-account. Always use the widget code that belongs to the account where the websites are managed.

Billing and Subscription Management

Sub-accounts function independently for billing purposes. Sub-account owners can:

  • Manage subscriptions associated with their workspace

  • Update payment methods

  • View billing information available within the sub-account

  • Renew or modify subscriptions associated with the sub-account

⚠️ Important: Subscriptions cannot be transferred between a parent account and a sub-account.

How do I update a sub-account owner?

The sub-account owner can update their account email address from within the sub-account. If ownership must be transferred to a different individual, additional account verification may be required.

Why do I see a user that cannot be edited or removed?

The displayed email belongs to the parent account that created the sub-account.

This account retains administrative access and cannot be removed from within the sub-account.

What access does the parent account have?

The parent account retains administrative access to the sub-account.

Can the parent account's permissions be limited or modified?

No. The parent account functions as an administrative account for the sub-account.

Which widget installation code should I use?

Always use the installation code associated with the specific account or sub-account where the website is managed. For example, if a website belongs to a sub-account, use the installation code generated from that sub-account, find your code here: https://userway.org/code/

Can subscriptions be moved between a parent account and a sub-account?

No. Subscriptions cannot be transferred between parent accounts and sub-accounts.

Can a sub-account have additional team members?

Yes. A sub-account functions as an independent workspace and can have its own users, roles, and permissions.
